At AvioLogic, we take your privacy very seriously. In this Privacy Policy, we explain who we are, what personal data we collect, why and for how long we keep it, who we share it with, and what rights you have under the General Data Protection Regulation (GDPR).

1. Data Controller

The data controller for personal data collected through this website and our services is AvioLogic BV, with registered office at Akkerstraat 32, 2500 Lier, Belgium, company number BE 1038.331.946, reachable at info@aviologic.be. This Privacy Policy explains how we collect, use, and protect your data when you visit our website or make use of our services.

2. Data we collect

Depending on how you interact with us, we may collect the following data:

  • Contact details (name, company name, email address, phone number) submitted via our contact form
  • Information related to quotations, agreements, invoicing and payments
  • The content of your message and any further correspondence with us
  • Technical and usage data collected via analytics cookies (shortened/anonymised IP address, browser type, pages visited) — only after you have given consent, see our Cookie Policy

3. Purposes and legal basis

We only use your data for the purposes below, each on a valid legal basis under Art. 6 GDPR:

  • Responding to your enquiry and preparing quotations — necessary to take pre-contractual steps at your request
  • Performing the agreement: delivering our services, invoicing and customer service — necessary for performance of a contract
  • Complying with accounting and tax obligations — necessary to comply with a legal obligation
  • Website analytics via Matomo to improve our website — only based on your prior consent (cookie consent), which you can withdraw at any time
  • Direct marketing (where applicable) — based on your consent or our legitimate interest as an existing client, always with an option to opt out

4. Retention period

Contact-form data that does not lead to an agreement is kept for a maximum of 24 months after our last contact. Client and invoicing data is kept for the statutory Belgian accounting retention period of 7 years. Analytics data (Matomo) is automatically deleted or anonymised after 26 months. Once the applicable period expires, your data is deleted or irreversibly anonymised.

5. Sharing your data and processors

We never sell your data to third parties. We only share personal data with carefully selected processors acting on our instructions (e.g. our hosting provider, our analytics platform Matomo, our scheduling/booking platform, and where applicable our accountant/payment provider), or with third parties where legally required (e.g. tax authorities). We have a data processing agreement in place with each processor in line with Art. 28 GDPR, or rely on services that act as an independent controller within the limits of their own privacy policy.

6. International transfers

Where a processor handles data outside the European Economic Area (EEA), we ensure this happens on the basis of an adequate level of protection, such as a European Commission adequacy decision or Standard Contractual Clauses (SCCs). Further information is available on request.

7. Your rights

Under the GDPR, you have the right to access, rectify, erase, and restrict processing of your data, the right to data portability, and the right to object to processing based on our legitimate interest. Where processing is based on your consent (such as analytics cookies), you may withdraw that consent at any time via the cookie settings at the bottom of this website, without affecting the lawfulness of processing carried out before withdrawal. 8. Complaints

If you have a complaint about how we handle your personal data, please contact us first so we can try to resolve it.
